Terms & Conditions

  1. Definitions

“Agreement” shall mean these terms and conditions and the Aula Artesana Booking Agreement between Aula Artesana S.A.C. and the Participant;

“Trip Participant” shall mean the client of or individual receiving Booking Services pursuant to this Agreement;

“Aula Artesana” or “Aula” shall mean Aula Artesana S.A.C., a company licensed to do and doing business in the country of Peru.

“Aula Artesana Booking Agreement” shall mean any agreement entered into by Aula Artesana S.A.C. and the Participant that related to the provision of Booking Services by Aula Artesana;

“Personnel” shall mean the members, employees, agents, and/or representatives of Aula Artesana S.A.C. who are to be engaged in providing the Services;


2. Provision of Services

Aula Artesana shall provide the Booking Services to the Trip Participant in accordance with the provisions of these Booking Terms and Conditions. All bookings are made directly with Aula Artesana S.A.C.. By booking a trip with us the Trip Participant agrees to these Booking Terms and Conditions. This document constitutes the entire agreement between the Trip Participant and Aula Artesana, and your booking will be accepted on this basis.

Please read the following carefully:

  • Age and Health Requirement

    Any Trip Participant under the age of 18 (at the time of departure) must be accompanied by an adult. Aula Artesana’s trips largely take place in rural or semi-rural communities across Peru in climates that may be unfamiliar to Trip Participants. The itineraries, activities and climates can be physically demanding. It is the sole responsibility of the Trip Participant to chose a trip that fits their personal level of physical fitness, which requires awareness of any personal physical and mental limitations. Aula Artesana strongly suggests that Trip Participants research or look into any and all pertinent information with respect to the latest health requirements and recommendations for the destination. This includes obtaining all necessary vaccinations, inoculations and prescription medications as directed by a local doctor or clinic.

  • Participant Information

    In order to efficiently facilitate Aula Artesana trips, Aula Artesana requires specific details from each Trip Participant no less than four (4) weeks prior to workshop. Each Trip Participant must provide to Aula: (1) full name as it appears in the passport, (2) passport number and issue/expiration date, (3) date of birth, (4) nationality, (5) any and all allergies (food or otherwise), (6) dietary preferences, (7) experience with high altitude, including history of altitude sickness (Acute Mountain Sickness, High Altitude Pulmonary Edema, High Altitude Cerebral Edema, etc.), (8) flight itinerary (if applicable), (9) any and all pre-existing medical conditions regardless of severity or duration of such condition, and (10) any other information about the participant that could be important to the trip or may interfere with the experience. The more we know, the better we can tailor the experience to our guests. The foregoing information must be submitted to workshops@aulaartesana.com no later than four (4) weeks prior to departure.

  • Passports and Visas

    Each Trip Participant is required to carry a valid passport and obtain all required visas and/or permits for countries visited. All passports must be valid for 6 months beyond the duration of your trip. For example, if the Trip Participant returns home from a workshop on January 1, their passport must be valid until at least July 2. Aula Artesana is not responsible for travel interruptions or cancellations due to the Trip Participant’s failure to obtain or secure proper travel documentation prior to departure.

  • Travel Insurance

    Aula requires comprehensive travel insurance for all Trip Participants. It is solely the responsibility of the Trip Participant to secure such coverage, if s/he chooses to do so. If the Trip Participant chooses to obtain travel insurance, Aula Artesana recommends that it cover trip cancellation, trip interruptions, medical emergencies abroad, emergency evacuation, loss of baggage or personal items and flight delays.

  • Deposit Requirement

    All retreats require a non-refundable deposit of $500 ($600 for single occupancy) to reserve and confirm the Trip Participant’s spot on the trip. If booking within 60 days of departure, full payment is due at the time of booking.

    To reserve a One Day Workshop, we request that the full balance of the workshop be paid upon reservation, including a 30% non-refundable deposit.

  • Retreat Payment

    To book a retreat, Aula Artesana offers both incremental payment plans as well as the option to pay in full at the time of booking. If booking a trip more than 60 days prior to departure, all remaining payment is due at least 60 days from departure. If booking within 60 days of departure, full payment is due at the time of booking. If using a discount code, only one code may be used per Trip Participant per trip.

  • Cancellations + Refunds

    In the event that a Trip Participant wishes to cancel their Aula Artesana Booking the following terms and conditions shall apply:

    The Trip Participant must notify Aula Artesana, in writing, of their desire to cancel. The following conditions shall apply with respect to refunds for cancellations:

    • If the Trip Participant cancels at least 60 days prior to departure, their non-refundable deposit is retained, but any other payments already made by the Trip Participant will be refunded in full, with the exception of any non-refundable purchases made on the Trip Participants behalf;

    • If the Trip Participant cancels at least 30 days prior to departure, their non-refundable deposit is retained, and 50% of any other payments already made by the Trip Participant will be refunded (with Aula retaining the remaining 50%), with the exception of any non-refundable purchases made on the Trip Participants behalf;

    • If the Trip Participant cancels within 30 days of departure, the non-refundable deposit as well as all payments made by the Trip Participant will not be refunded

    Once the deposit is collected, all additional payments are due at least 60 days prior to departure. Aula Artesana reserves the right to cancel participation resulting in the loss of all money collected if any outstanding payment is not received by 11:59 p.m. on the 60th day prior to departure.

    If Aula Artesana is forced to cancel or significantly alter your trip, we will notify the Trip Participant in writing as soon as possible. In these circumstances, the Trip Participant may choose any one of the following options:

    1) Accept a credit for the amount you’ve paid towards a future Aula Artesana trip; or

    2) Receive a refund of all money paid

    If, for any reason, the Trip Participant leaves a trip once it has commenced, Aula Artesana is not obliged to issue any refund, credit or compensation.

    Due to the foregoing cancellation and refund policy, Aula Artesana strongly recommends that each Trip Participant purchase travel insurance.

    Any complaint that arises as a result of the above cancellation and refund policy, should be directed to the group leader of the trip. If the issue is not resolved and further attention is required, a refund request must be directed to Aula Artesana in writing within 30 days of the last day of the trip. Whether a Trip Participant is entitled to any refund, credit, or other form of compensation for their complaint, is within the sole discretion of Aula Artesana.

  • Liability

    Aula Artesana works with local suppliers of transportation, land operators, accommodations, food and goods, guides and translators and related travel services that have been carefully vetted for safety and reliability. However, Aula Artesana does not own, operate, control, supervise or manage any of the suppliers of the aforementioned services. Aula Artesana shall not be liable for any injury, damage, loss, inconvenience, irregularity, delay or cancelation resulting, directly or indirectly, from acts of God, weather, detention, quarantines, civil disturbances, strikes, criminal activity, government regulations, etc. over which it has no control.

  • Optional Activities

    Throughout each retreat there will be opportunities to participate in additional and optional activities including but not limited to hiking, swimming, and guided walking tours. The dangers associated with these activities as well as those generally inherent to the trip location are accepted by the Trip Participant at their own risk. Any assistance given by group leader or local representative in organizing these activities shall not result in any liability of Aula Artesana for any bodily injury, illness, or death arising out of, resulting from, related to, and/or caused in whole or in part, by the Trip Participant’s involvement in these optional activities.

  • Photography

    By agreeing to Aula Artesana’s Booking Terms and Conditions, the Trip Participant gives Aula Artesana permission to use photos taken of them during the trips for promotional purposes and in any other medium Aula Artesana chooses.

  • Code of Conduct

    Each of the Aula Artesana destinations have cultural customs unique to each region including attire, food, drink and other social aspects. Aula Artesana will provide cultural information and context in each location and throughout each trip, but it is recommended that Trip Participants research on their own as well to ensure all Trip Participants are prepared. Aula Artesana does not tolerate illegal drug use and respectfully asks that each Trip Participant of age to do so, consumes alcohol responsibly. Aula Artesana reserves the right to remove a Trip Participant from a trip is s/he is found to be engaging in and/or using any illegal activity or drug and/or hazardous behavior. Such removal shall be at the Trip Participant’s own financial expense.

  • Acceptance of Risk

    Aula Artesana wants each traveler to enjoy the unforgettable experience of artistic and cultural exchange. Therefore, Aula Artesana’s trips involve an inherent degree of personal risk based on cultural, political, and geographical attributes relevant to our destinations. Aula Artesana gathers information from foreign departments and our own local contacts to make itinerary decisions; however, it is ultimately the Trip Participant’s responsibility to familiarize themselves with relevant travel advisories and information. Please visit the U.S. State Department at www.travel.state.gov for updated travel warnings and advisories prior to departure.

    By booking a trip with Aula Artesana, the Trip Participant acknowledges that they are aware of associated risks with such unique travel and agrees to release, indemnify, and hold harmless Aula Artesana from any and all liability and responsibility arising out of, resulting from, related to, and/or caused in whole or in part, by damage to property, bodily injury, illness, or death, whether such was the result of intentional or unintentional acts.

  • Severability

    Invalidity or unenforceability of one or more provisions of this Agreement shall not affect any other provisions of this Agreement. If possible, any unenforceable provision within this Agreement will be modified to reflect the parties’ original intent.

  • Updating of Booking Terms and Conditions

    Aula Artesana reserves the right to update or alter these Aula Artesana Booking Terms and Conditions unilaterally at any time and it shall be the Trip Participant’s responsibility to familiarize themselves with them. Updated Aula Artesana Booking Terms and Conditions can always be found at http://www.aulaartesana.com/.

  • COVID-19 Policy

    In order to maintain the health of our guests, partners, guides, drivers and staff, we have implemented the following safety protocols:

    • Requiring proof vaccination, via photo or QR code, with a minimum of 2 doses administered

    • Number of workshop guests limited to 4-8, depending on workshop

    • All workshops in open air, with masks required

    • All meals in open air

    • Hand sanitizer available at all times

    • Sanitation protocols before entering spaces such as hotels, workshops, shuttle

    • Itinerary adjustments where necessary, based on closures of local sites

    We ask that all guests respect these protocols regardless of vaccination status. We wish to respect the local rules regarding mask-wearing and social distancing kept in place to protect our partners and locals in Peru, most of whom do not have access to vaccination at this time.
